Primary Responsibilities

  • Manage complex and frequently changing calendars, ensuring efficient scheduling and resolution of meeting conflicts.
  • Coordinate and organize meetings, including preparing materials, arranging logistics, and handling follow-ups.
  • Arrange comprehensive travel plans — flights, hotels, ground transportation, and itineraries.
  • Process and track expense claims accurately and promptly.
  • Liaise professionally with internal teams and external partners on behalf of the executives.
  • Handle calls, correspondence, and other administrative tasks with discretion and efficiency.
  • Provide event support when needed and other ad hoc assignments as requested.

 

Requirements

  • Minimum 5 years of administrative or executive assistant experience, including at least 3 years supporting two or more C-suite executives.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and calendar management tools.
  • Fluent in English, Cantonese, and Mandarin (both written and spoken).
  • Discreet, reliable, and able to perform effectively in a fast-paced, dynamic environment.
